Recruitment Policies

The Office of Career Services at Saint Elizabeth University has established policies and guidelines to promote equitable recruiting practices for all students and to ensure safe, ethical engagement from employers who partner with our campus community. These policies reflect our ongoing commitment to diversity, equity, inclusion, and fair hiring practices across all recruiting activities.

Employers and organizations recruiting Saint Elizabeth University students are expected to comply with these policies, as well as the National Association of Colleges and Employers (NACE) Principles for Professional Practice and the Fair Labor Standards Act. Together, these standards inform and guide all recruitment activities conducted through the university.

The Career Center Services office maintains the following policies:

Equal Employment Opportunities

Employers recruiting on campus are expected to comply with Equal Employment Opportunity (EEO) standards and adhere to affirmative action principles in all recruitment activities. Employers must consider all qualified candidates without regard to race, color, national origin, religion, age, gender, sexual orientation, or disability, and must provide reasonable accommodations upon request.

The Office of Career Services reserves the right to decline or discontinue services to any employer at the discretion of staff due to conduct deemed inappropriate or inconsistent with university standards. Such conduct includes, but is not limited to:

  • Requesting sensitive personal information during the application process, including bank account or Social Security numbers
  • Misrepresentation, including providing false, misleading, or incomplete information
  • Fraudulent activity
  • Harassment of students, alumni, or staff
  • Violations of confidentiality requirements under the Family Educational Rights and Privacy Act (FERPA)
  • Any violation of local, state, or federal laws

Handshake is Career Service’s online portal for posting and promoting full-time, part-time, seasonal, and internship opportunities, as well as recruiting events for employers of all types.

All employers must accurately represent their organization and positions and comply with Career Services policies, NACE guidelines, and applicable federal and state labor laws, including the Fair Labor Standards Act.

The Office of Career Services does not support postings or recruiting activities that involve fees, required purchases, donations, or unpaid training costs. We also do not permit pyramid/multi-level marketing roles, commission-only jobs without clear disclosure, or in-home employment such as babysitting.

The Office of Career Services reserves the right to reject any posting, employer, or event that does not meet institutional, legal, or professional standards.

The Office of Career Services defines third-party recruiters as agencies, organizations, or individuals who recruit candidates on behalf of external employers rather than for their own internal positions.

Third-party recruiters may use Handshake, attend career fairs, and participate in on-campus recruiting, but must clearly identify when they are recruiting for clients versus their own organization. All Handshake postings must reflect active, specific job opportunities and include accurate employer and position details.

Third-party recruiters must comply with the following requirements:

  • Do not charge any fees to students or alumni.
  • Follow all Equal Opportunity and Affirmative Action laws and university policies prohibiting discrimination.
  • Clearly identify themselves as third-party recruiters in all profiles and job postings.
  • Disclose client employer names in postings and provide client lists (and retainer agreements if requested).
  • Ensure all job descriptions are accurate and up to date.
  • Use candidate information only for the specified employer in compliance with FERPA and do not re-disclose it.

If recruiting on campus or at career fairs, third-party recruiters must identify all represented employers and adhere to Career Services policies. All candidate referrals and communications must be used solely for the approved employer(s) and purposes.

Unpaid Internship Guidelines

Employers must ensure that all unpaid internship opportunities comply with the U.S. Department of Labor (DOL) standards for acceptable unpaid internships.

Under the Fair Labor Standards Act (FLSA), for-profit employers are required to compensate employees at no less than the applicable minimum wage unless the internship meets specific criteria established by the DOL. Organizations seeking to post unpaid internships in Handshake must evaluate their roles using the following six-factor test:

  • The internship provides training similar to that which would be offered in an educational environment.
  • The internship experience is designed primarily for the benefit of the intern.
  • The intern does not displace regular employees and works under the close supervision of existing staff.
  • The employer does not derive immediate operational advantage from the intern’s activities; in some cases, operations may be temporarily affected.
  • The intern is not guaranteed employment at the conclusion of the internship.
  • Both the employer and the intern understand that the intern is not entitled to wages for time spent in the internship.

Compensation & Fees

  • Employers offering paid positions must provide compensation that meets or exceeds the New Jersey State minimum wage, or any applicable local minimum wage if higher. Compensation may be calculated on an hourly, weekly, semi-monthly, monthly, or annual basis.
  • Acceptable payment must be in a standard monetary form. Cryptocurrency, Bitcoin, tokens, equity, or other non-cash compensation are not permitted as forms of payment.
  • For commission-based sales positions, any compensation structure must be clearly outlined in the job description and communicated during the initial interview process. If a base salary is not provided, the method of remuneration must be explicitly stated and transparent to candidates.
  • Job postings that require applicants to make donations, pay application fees, contribute funds, or provide investments are not permitted on Handshake.

Internship Recruiting Guidelines

Employers recruiting interns must comply with all applicable policies, including the National Association of Colleges and Employers (NACE) Principles for Professional Practice.

In alignment with these standards, internships should include the following elements:

  • The experience is clearly educational in nature and builds upon the student’s academic coursework.
  • The skills and knowledge gained are transferable to other professional or academic settings.
  • The internship has a defined start and end date, along with a clear job description and outlined qualifications.
  • Learning objectives and goals are established in relation to the student’s academic and career development.
  • The intern is supervised by a qualified professional with relevant expertise and/or educational background in the field.
  • Ongoing feedback is provided regularly by the supervising professional.
  • The employer provides appropriate resources, tools, and facilities that support the intern’s learning objectives and success.

Internships with for-profit organizations should be compensated at no less than the applicable minimum wage. For-profit employers offering unpaid internships, stipend-based experiences, or credit-bearing internships must ensure compliance with the Department of Labor’s Fair Labor Standards Act Internship Fact Sheet #71 7-factor “primary beneficiary test,” as outlined by federal guidelines.

Academic Credit

For all internships considered for academic credit at Saint Elizabeth University, it is the student’s responsibility to consult with their faculty advisor and complete the required internal application for internship credit approval. All internship responsibilities, learning outcomes, and objectives must be reviewed and approved by the appropriate faculty advisor prior to the student receiving academic credit for the experience.
